Getting Organized with Your Filing
We’re still working on do-able resolutions, one of which is getting organized one step at a time. Instead of tackling your whole desk at once, why not break it up into more manageable chunks? Today we’re working on establishing a filing system so that all your papers don’t get sucked into the wasteland that used to be your desk. Here are some step-by-step suggestions you can modify to fit your needs- the main idea is to clear the clutter and get a system that works for you and your needs.
Step-by-Step Filing Process
- Start with setting aside time or several slots of time to actually go through your papers. Some find that the end of the day on Friday works best since they’re worn out from working and want a break- you’re not focused anyway, so you might as well be productive in another way!
- With a recycle bin and a shredder close at hand, go through your papers, one by one. You kept them now it’s time to see what they all are. If it’s not important, throw it way!!!!!! If it has important numbers or information on it, be sure to shred it.
- File keepers. It may be that you already know of several different categories of papers, or you may figure it out as you go and asses what categories you have. You can either make piles and file at the end, or keep a pen/pencil/sharpie and some file folders handy file them immediately, or wait until you are finished sorting.
- If you have papers or even files that you need often, keep them handy in a nearby drawer or a desk top file tray. It’s important to keep frequently used items within arm’s reach so you don’t over-extend yourself and cause injury.

Do the same thing (see #3) for your email. Make folders and sort your messages for easier reference. delete personal emails or junk ones. It’s usually wise to hang onto work emails just in case you need them for future business, or even for accountability.
- Document holders are great for keeping any papers you type from or reference frequently more readily accessible.
- Stay on top of your filing!!! Don’t let papers flood your desk or your inbox- spend 5-10 minutes at the end of the day filing them- it’s just like your work-out: much easier to maintain than to let lapse.
Just by establishing a system, you will find that you can actually locate what you need without spending a lot of time searching. Plus, once the system is in place, it’s easy to maintain!
